Employers must complete their monthly Employees’ Provident Fund (PF) filing and deposit contributions within the prescribed deadline to ensure that employees’ retirement savings are credited on time. What Is ECR and Why Is It Important?

Electronic Challan-cum-Return, commonly known as ECR, is the monthly filing through which employers report employee salaries and PF contribution details to the EPFO. The information helps facilitate the deposit of contributions into employees’ provident fund accounts.

Employers are required to provide the relevant details in the prescribed format and complete the associated payment process. Timely filing and payment help maintain accurate PF records and prevent delays in depositing contributions.

What Happens If PF Contributions Are Deposited Late?

Employers who fail to deposit PF contributions by the due date may face interest charges and damages, depending on the applicable provisions and the period of delay.

Under Section 7Q, interest at the rate of 12% per annum may be payable on delayed payments. In addition, Section 14B provides for damages ranging from 5% to 25% of the outstanding amount, depending on the delay period and applicable regulations.

To minimise the risk of additional financial liabilities, employers should complete the September 2026 ECR filing and payment by October 15, 2026.

How to File ECR on the EPFO Employer Portal

Employers can complete the ECR filing process through the official EPFO Employer Portal by following these steps:

  1. Visit the EPFO Employer Portal and sign in using the establishment ID and password.
  2. Open the ECR section and enter employee salary and PF contribution details in the required format.
  3. Upload the prepared file after checking that all information is accurate.
  4. Generate the challan and obtain the Transaction Reference Number (TRRN).
  5. Pay the amount due through the challan and keep the payment confirmation and related records for future reference.

Employers should ensure that the information is accurate and that both the return and payment are completed within the prescribed deadline.
